Decision:

To renew the Microsoft Enterprise Agreement for a period of 3 years using the KCS Professional Services Framework; for the provision of all Microsoft licences. We have obtained seven quotes from suppliers on the framework and Ultima was the most competitive. Ultima will supply Adur District and Worthing Borough Council with Microsoft Enterprise Agreement Licences for a term period of 3 years from 1st June 2024 to 29 June 2027. The value of the contract is £222,534.96 over the 3 years term of the contract (at £74,178.32 per year) and so it is a key decision.

Reasons for the decision:

Contract Background: Our current 3 year Microsoft Enterprise Enterprise Agreement contract with TrustMarque is approaching its expiration in May 2024.

 

Necessity of renewal: The renewal of the enterprise agreement is critical as Microsoft licences are a legal requirement to use Windows operating systems on our desktop and server devices. In addition to these licences, Office 365 is essential for many of the Council’s key systems.

 

Impact of Non-Renewal: Without the renewal, our organisation would face significant disruption, losing access to all these features and tools. This loss would adversely affect all of our operations.

 

Strategic Importance: The continued use of Microsoft is vital for maintaining the seamless operation of our organisational processes and ensuring consistent productivity across all departments.

Alternative options considered:

There are no viable alternative options, Microsoft is essential; without it our IT estate would not function. However, our procurement team has reviewed the best route to market to ensure best value is achieved.
